Useful hints and tips to support staff using SystmOne.  


Appointment Book – Viewing staff on leave

If you go to the menu User > User Preferences > Expand the Appointments option >Ledger Settings > Tick 'Show panel on ledger which lists the staff who are on leave'.  (Note this relies on practices using the staff leave functionality).

Instant Messaging

Postponing IMs – any IMs that you have postponed but would like to get back easily, you can click on the enable messages button (main instant message dialogue) and they will instantly reappear.

Consultations

Clicking on the name/demographics box during a consultation hides the consultation box so you can see more of tabbed journal etc. You can then click ‘resume consultation’ to go back to the consultation.

Prescribing

When searching for a drug you can include the number to make search more specific eg paracetamol 500.

User Preference – Print Summary

Go to the User menu > User Preferences >Record Summaries – Allows you to select a default view so that when you go to Print a Patient summary it is selected by default.

Marking a record as ‘Not in Use’

Scenario:

A GP is trying to prescribe a medication but was unable to do so as an information message warned that the patient record was in use by another user.  However after checking it was found that the other user had not accessed the record at all that day.  The reason for this issue could be because S1 closed down unexpectedly while the user was in the record.

To clear the message, i.e. force a record to be closed:

 

 

Note: you can only mark a record as no longer in use for a staff member at your organisation.  If the record is open in another location, another member of staff at that organisation will need to mark the record as not in use.

PGD’s (Patient Group Directions) Access via Set-up >Prescribing

Patient Group Directions (PGDs) provide a legal framework that allows some registered health professionals to supply and/or administer specified medicines to a pre-defined group of patients without them having to see a prescriber (such as a doctor or nurse prescriber).

·     Setup user – e.g. joylouise0707 – usual password for S1 – need this as role of nurse on PGD created

Safeguarding

If you use Ardens they now have a safeguarding template. Please check that it contains all the information your practice needs to capture.

Online users 

To set up proxy access for person/relative not registered at practice – i.e. care home/son/daughter etc.

Go to the Patient menu  >patient maintenance >new online user account.
