SystmOne Updates - May 2020

Airmid -

The "Enable Airmid" organisation preference will be merged with the "Enable Online Services" organisation preference.

Currently, organisations can set the 'Enable Airmid' Organisation Preference, which allows patient information to be viewed within the Airmid app.

This preference will be merged with the 'Enable Online Services' preference that currently controls the visibility of data with SystmOnline, so that preferences are applied consistently across both patient-facing apps.

This will be deployed in a switched-off state and shall be enabled following the Maintenance Release. A further update shall be provided to users when this change is enabled.

It will be possible for patients to change their nominated pharmacy for ETP2 in Airmid.

As of the next SystmOne Maintenance Release, the Airmid app will offer patients who are Spine-matched the ability to change their nominated pharmacy. This functionality will be available to any online user who has access to any ETP2-enabled unit.

Existing medication that is shown when making a medication request will be grouped by requesting availability.

When making a medication request existing medication will be grouped by requesting availability. This means that medication that is available for requesting will be grouped together in a section, followed by medication that cannot currently be requested in another section. Repeat and acute medication will be shown with different icons.

Previously, existing medication was grouped by whether it was a repeat or an acute. This meant that medication that was not available for request was mixed in with medication that was available for request.

FaceID will now work with Airmid when running on iOS devices that support FaceID.

Face ID will now work with Airmid when running on iOS devices that support FaceID. To enable this go to Settings and choose to "Enable FaceID".

EPS

It will be clearer why prescriptions are not going to be sent via EPS.

There are many reasons why a prescription will not be sent via EPS (e.g. specific drugs, patient exemptions, service availability etc). In the next Maintenance Release, information will be added to the Print Issues dialog that will explain why the scripts you are creating will be printed, rather than being sent to EPS.

Miscellaneous

System administrators will be able to configure menu bars for specific staff roles and users.

From the next Maintenance Release, system administrators will be able to configure menu bars for specific staff roles and users. You will be able to access this from Setup > Users & Policy > Menu Bar Configuration. You will be able to configure your own custom menus and set up new configurations for the existing system menus, e.g. Patient, Appointments. Options that are removed from users become inaccessible via menus, search features, quick actions, and keyboard shortcuts. You will also be able to specify that the Home screen for users using a particular menu bar configuration will not show the patient search bar, programs and URLs, or the system tray.

As you can see below I have set up a ‘TEST MENU’ option with a few selected actions and limited this Menu Bar set up to the ‘Caldicott Guardian Role’ Only. This option works in a very similar way to Clinical Tree’s and Toolbar’s

Prescribing

When signing and printing EPS2 prescriptions the option to 'Print future issues later' will be renamed to  'Print/sign future issues later'.

The current  'Print future issues later' option forces you to sign the future dated scripts straight away but they then also appear on the Prescription Search screen for signing/printing. The new option will simply put the script onto the Prescription Search screen for signing and printing.

This new behaviour should be more intuitive and behaves in the same way as the 'Print/Sign & Send Now' and 'Print/Sign & Send Later' buttons for scripts that are not future dated.

This change will be rolled out in a phased way shortly after the release.

There will be the option to stop unended issues when stopping a repeat template.

Currently, when stopping a repeat template there is a prompt to check the medication node for any unended issues. From the next Maintenance Release, this prompt will be replaced with a question about whether you want to stop the unended issues. If Yes is selected, the unended issues will be stopped including sending ETP cancellations where necessary.

SCR

There will be a TPP controlled switch to override SCR consents - This is in relation to the national change around SCR with Additional Information which has been rolled out.

This will take effect as per the following rules:

Patient's most recently recorded SCR consent preference = Dissent

Current SCR content = No SCR

SCR content following with the switch on = No change - No SCR

Patient's most recently recorded SCR consent preference = Implied consent (No express consent or dissent codes recorded)

Current SCR content = Core SCR

SCR content following with the switch on = Additional Information SCR

Patient's most recently recorded SCR consent preference = Express consent for core SCR

Current SCR content = Core SCR

SCR content following with the switch on = No change - Core SCR

Patient's most recently recorded SCR consent preference = Express conset for core and additional information SCR

Current SCR content = Additional Information SCR

SCR content following with the switch on = No change - Additional Information SCR

Those SCR updates which are affected by this change will be indicated by a note and a code in the patient record.

This change will be rolled out by TPP following instruction from NHSD.

-------------------------------------------------------------------------------------------------------------------------------------------------------------------------------

Only the latest instance of a Covid-19 Risk Category code will be included in the Summary Care Record.

Currently, the Summary Care Record with Additional Information includes all instances of any given code in the inclusion set by default. As of this change being enabled, only the latest instance of the three Covid-19 Risk Category codes listed below will be included in the Summary Care Record.

1300591000000101 Low risk category for developing complication from coronavirus disease 19 caused by severe acute respiratory syndrome coronavirus 2 infection (finding)

1300571000000100 Moderate risk category for developing complication from coronavirus disease 19 caused by severe acute respiratory syndrome coronavirus 2 infection (finding)

1300561000000107 High risk category for developing complication from coronavirus disease 19 caused by severe acute respiratory syndrome coronavirus 2 infection (finding)

This functionality is not yet enabled and TPP will post a change notice once this takes effect.

Shared Admin

You will be able to share scanning using shared administration.

When forwarding documents on the Scanned Document Update dialog, or when bulk forwarding from the Document Inbox screen, you will be able to forward documents to users, user groups and teams at other units in your shared admin group.

You will be able to see these documents (and others within your shared admin group) on the Document Inbox screen.

There will be a new filter option on the Document Inbox screen allowing you to filter documents by the site where they were scanned.

The existing filter options for staff member, user group and team will include staff members, groups and teams at other units in your shared admin group.

The filter options for "Me" and "Me and my teams" will display documents for all of your roles and teams across units where you have roles in your shared admin group.

There is an existing shared administration option for scanning - currently, this is not used. TPP will remove this option for any units who currently have it set after the release, so users who want to be enabled for the new scanning shared administration functionality will need to contact TPP.

This functionality will not be enabled immediately after the release and TPP will post a change notice once this takes effect.

Video Consultations

An email with the pass code for the video consultation will not be sent to patient when they go to the video consultation authentication page.

Currently, when a patient goes to the video consultation authentication page, an attempt to email the patient the pass code will be made, even when the patient already knows the pass code. From the next Maintenance Release, the patient will always know the pass code before they go to the authentication page (either it will have been sent via email/SMS, or they will received it within Airmid), so the patient will no longer be emailed when they go to the authentication page.

When sending a video consultation link to a patient for a slot that has been changed to a video consultation slot, both the video consultation link and code will be sent.

Currently, if you change an appointment slot with a patient booked in to it to a video consultation slot, when sending a video consultation link to the patient, they will only be sent the link and will only receive the pass code via email after visiting the link. From the next Maintenance Release, if you change to a video consultation slot type and then send the link, the message received by the patient will also include the pass code.

You will be told if the SMS was sent successfully when notifying a patient that you are ready for a video consultation.

Currently, when notifying a patient that you are ready for a video consultation via SMS, you are not told if the SMS sent successfully. From the next Maintenance Release, you will be told if the SMS was sent successfully or you will be shown an error if it failed.

 OTHER – SCRAI

The COPI notice issued on the 20th March 2020 supports the sending of SCR-AI for all patients who have not dissented. For a practice to be compliant with this it is necessary that

a)            The SystmOne Gateway client is restarted, and

b)            The SystmOne Gateway client is left running at all times, especially over the weekend.

The client must be logged in by a user with a smart card, that can retrieve and save records. The PC should then be locked by withdrawing the smart card.

Do not turn the PC off.
